Getting started

What do I set up the first time I open the app?

Your name, your home location (a ZIP code or your phone's location) and your home state. Then you can create your first season or look around a sample season first.

Do I need separate seasons for high school and college?

No. One season can hold both. For example, a single "2026–27 Basketball" season keeps your high school and college games together, split by level. You don't need "High School Basketball" and "College Basketball" as separate seasons.

A school I work isn't in the list.

The list includes high schools in your home state plus colleges. If you work in another state, add that state's high schools as an add-on. If a school is still missing, email us the school name and town and we'll add it in an update.

How does the app know how a school pays?

The first time you enter a game at a school, choose how they pay: check, ArbiterPay, ZebraPay, cash or another method. The app remembers it and fills it in for every game at that school after that. You can change it on any game.

Importing your schedule

How do I import my schedule?

Take a screenshot of your schedule on your assigning site, or a photo of a printed or emailed schedule. In the app, choose Import and pick the image from your photos. The app shows the games it found so you can check them, fix anything it misread, and save them all at once.

What does the import fill in?

Whatever the schedule shows, usually the date, school, level, teams and start time. Fees and pay methods fill in automatically for schools you've already worked. Anything missing can be added on the game's details page.

Is my screenshot uploaded anywhere?

No. The image is read on your phone. It isn't sent to us or to any outside service, and the app works the same with no internet connection.

The import missed a game or got something wrong.

Fix it on the review screen before saving, or edit the game afterward. Clear, full-screen screenshots work best. Cropping out menus and banners helps too.

Mileage

How is mileage calculated?

The app estimates the distance from your home location to the school using a built-in list of school locations. It's done entirely on your phone with no internet lookup, which keeps your location private and lets it work anywhere.

Because it's an estimate, it can differ from your actual driving route. Check it against your route before submitting a reimbursement.

Why is mileage only on college games?

High schools generally don't pay officials mileage, so the app shows it where it's most useful.

How do I change my home location?

Open Settings and update your home ZIP code or use your current location. New mileage estimates will use the new home point.

Trial, renewal and add-ons

How does the free trial work?

You get every feature free for 14 days. After that, Officials Ledger is $8.99 a year, billed through the App Store or Google Play.

When does my subscription renew?

Your renewal date is shown on the About page in the app. About 14 days before it renews, the app reminds you of the upcoming charge.

What happens if I don't renew?

Nothing is deleted. The app switches to read-only: you can still view your history and run reports and exports, but you can't add new games until you renew.

How do I cancel?

On iPhone: Settings, tap your name, then Subscriptions. On Android: Google Play, tap your profile, then Payments & subscriptions. We can't cancel subscriptions for you because the app stores handle billing.

How do I add another state's high schools?

Each additional state is a $0.99 one-time add-on. Your home state is included. Additional states are kept separate so schools you never work don't clutter your suggestions.

I got a new phone. How do I get my purchases back?

Sign in with the same Apple Account or Google account, open the app, and use Restore Purchases in Settings.

Your data

Where are my games stored?

On your phone. The app has no account and no server of ours behind it, and it works with no internet connection. On iPhone you can turn on sync through your own iCloud account so your games follow you to a new device. We don't have a copy either way. See the Privacy Policy for details.

How do I export my earnings for taxes?

You can export a single season's earnings, or a full tax year that combines every sport you worked in that calendar year. Exports are created on your phone and you choose where to send them.
